CandidateAutomation

Introduction

CandidateAutomation is a micro SaaS solution designed to streamline the recruitment process by automating follow-up tasks for recruiters. This project aims to address the common challenge faced by recruiters who manually chase candidates, thereby enhancing efficiency and productivity in recruitment workflows.

System Overview

CandidateAutomation will automate key recruitment follow-up tasks, including sending emails, WhatsApp reminders, scheduling interviews, syncing with Google Calendar, and updating the recruitment pipeline. This solution is particularly beneficial for small agencies that currently rely on spreadsheets and are underserved by existing ATS software.

Functional Requirements as Story Points

  • As a Recruiter, I should be able to automatically send follow-up emails to candidates.
  • As a Recruiter, I should be able to send WhatsApp reminders to candidates.
  • As a Recruiter, I should be able to schedule interviews automatically.
  • As a Recruiter, I should be able to sync scheduled interviews with Google Calendar.
  • As a Recruiter, I should be able to update the recruitment pipeline automatically.

User Personas

  • Recruiter: The primary user who manages candidate follow-ups and schedules interviews.
  • Candidate: The recipient of follow-up communications and interview schedules.

Core User Flows

  • Recruiter sets up candidate follow-up automation -> System sends emails and WhatsApp reminders -> Candidate receives notifications -> System schedules interviews -> Interviews sync with Google Calendar -> Recruitment pipeline updates automatically.

Signature Design Concept

The homepage will feature an interactive "Recruitment Journey Map" where users can visually track a candidate's progress through the recruitment process. This map will animate as candidates move from one stage to the next, with clickable nodes representing each stage (e.g., Application Received, Interview Scheduled, Offer Made). Users can hover over nodes to see detailed information and interact with the map to update statuses. This concept will be implemented using motion/react for smooth animations and transitions.

Landing Hero Motion Brief

The landing page will feature a dynamic illustration of a recruiter’s desk with animated elements representing different tasks (emails, calendar, reminders) that transform into a streamlined workflow. As the user scrolls, the elements will animate to show the transition from manual tasks to automated processes, culminating in a visual of a satisfied recruiter. This will be achieved using motion/react for a polished, continuous motion loop.

Interaction Model & Motion Direction

  • Intended Interaction Model: Animated
  • The landing page will feature moderate scroll-triggered reveals and hover transitions to enhance user engagement. Interactive elements will have spring physics for a polished feel.

Non-Functional Requirements

  • The system must handle concurrent user sessions efficiently.
  • The application should ensure data privacy and secure communication.
  • The system should be scalable to accommodate growing user bases.

Tech Stack

  • Frontend: React for Web
  • Backend: Python with FastAPI
  • Database: MySQL or MariaDB, with alembic for migrations
  • AI Models: Not applicable
  • Local Orchestration: Docker, docker-compose
  • Server-side Orchestration: Kubernetes

Assumptions and Constraints

  • The system assumes users have access to the internet and a modern web browser.
  • Integration with Google Calendar requires user authentication and permissions.
  • The system is constrained by the APIs of third-party services like WhatsApp and Google Calendar.
